Frequently Asked Questions
Getting started
I’m not sure which service I need. Where should I start?
Start with an AI Assessment if you are not yet sure what kind of help you need. I’ll look at the business problem first, compare the realistic options and recommend whether the next step should be AI Search, AI Automation, something simpler or nothing at all.
Assessments start at C$350, so you can investigate the problem before committing to implementation.
If the problem and scope are already clear, you may not need an assessment and we can discuss implementation directly.
What kind of businesses are a good fit?
You are usually a good fit if you run an operating small business and either:
- have a specific problem, workflow or customer-discovery question you want to improve, or
- know you want to use AI but are not yet sure where it would be useful or worth the investment.
It helps if you can share real examples of how the business works today and involve someone who can make the relevant decisions.
AI Assessment is a good place to start if you are still figuring out where AI fits. AI Search tends to fit when customers compare several businesses before choosing. AI Automation tends to fit when the same digital work repeats and takes time away from more valuable work.
Recent examples include acupuncture and wellness clinics, dental practices, landscape architecture and design studios, e-commerce, cultural nonprofits and marketing teams.
When might Steph Forward not be the right fit?
I may not be the right fit if you are looking for AI to replace an entire team, run without human oversight, or guarantee rankings, recommendations or revenue.
I am also not the right fit for a broad “use AI everywhere” transformation project. My work is intentionally scoped around a specific problem, workflow, business area or AI Search question.
What happens on the discovery call?
We spend 30 minutes understanding the problem, whether it falls within the areas I work on and what a useful next step might be. The call is free. Any assessment or implementation work is paid and scoped separately.
Do I have to start with an assessment?
No. If the problem, requirements and scope are already clear enough, we can discuss implementation directly.
What do I get from a paid assessment?
A clear decision, the evidence behind it and a practical next step. The recommendation may be to implement, test, prepare first, use something simpler or stop.
What happens after the assessment?
The assessment ends with a written recommendation. You decide whether to continue. Nothing is bundled, and there is no obligation to hire me for the next step.
Do I need technical or AI experience?
No. You bring the business context and realistic examples. I explain the options and trade-offs in plain language.
AI Assessment
What do you need from me?
You do not need to map the workflow first — understanding it is part of the assessment. Show me how the work happens today and bring realistic examples where possible.
For an Opportunity Scan, I need realistic examples and input from the person or people who know the work well.
For an Opportunity Map, I work with at least one owner or decision-maker, plus the people who know the relevant work best. I use focused interviews, real examples and factual review rather than asking the whole team to stay involved throughout the project.
For an AI Search Check, I need your website, confirmed business facts and input on the questions customers ask before choosing you.
Can you assess my whole business for every possible AI opportunity?
Not under the current Scan or Map scope.
A Scan focuses on one task or workflow. A Map can go deeper across one complex workflow or one clearly bounded business area with related work and opportunities.
If the question is broader than that, we use the discovery call to define a useful scope first.
What if I have a specific AI idea but do not know whether today's technology is good enough?
Some questions need a limited feasibility test. If that is the real decision, the test is scoped separately.
Is this the same as an AI readiness assessment?
Not exactly. Some readiness assessments score the whole company. I keep the work tied to a specific business problem, workflow, bounded area or decision so the result supports a practical next step.
AI Search
Can you guarantee that ChatGPT or Google AI will recommend my business?
No. AI answers vary by question, user, location, date and platform. I can measure the current state, improve the facts and signals you control and re-test the same agreed questions, but I cannot guarantee a particular recommendation.
What if my business already ranks well on Google?
Strong Google visibility is a useful foundation, but it does not guarantee that ChatGPT, Google AI Overviews or Perplexity will describe or recommend your business in the same way. A Snapshot or Check shows whether there is actually an AI Search gap before you invest in fixing one.
Do I need a new website?
Not necessarily. New pages or larger website changes are recommended only when there is a clear gap they need to solve.
How long does it take for changes to show up?
There is no fixed timeline. That is why the work starts with a time-stamped baseline and uses re-measurement instead of promising a result by a specific date.
What is not included?
Rebuilding your website, paid ads and writing ongoing content. AI Search Care covers agreed small updates; a full content programme is a separate conversation.
Is this the same as traditional SEO?
They overlap, but they are not identical. Strong technical access, useful content and clear business information help both. AI Search also looks at how your business appears in AI answers, how it is described, which competitors appear and which sources are cited.
AI Automation
Does every automation need AI?
No. Some work benefits from AI. Other parts are better handled with regular software, integrations or business rules.
What happens if the automation makes a mistake?
No automation is error-free. Depending on the task and risk, the system may use validation rules, human review, exception handling, logs or alerts. Before launch, we agree on when a person needs to step in.
How do I know if something is worth automating?
A good candidate usually happens often enough to matter, follows a process that can be understood and uses information or systems the automation can access reliably. There also needs to be a practical way to handle mistakes, unusual cases and decisions that still need a person.
Frequency alone does not make something worth automating. The expected value, implementation cost, ongoing cost and risk all matter. That is one of the things I check in an AI Opportunity Scan.
Can you work with the tools we already use?
Yes. I check those first. If something you already use can solve part or all of the problem, I consider that before recommending something new.
Are there ongoing costs beyond your fee?
Usually, yes. Third-party software, API, hosting and usage fees are separate unless the project scope says otherwise. I identify the expected ongoing costs before you approve a Build.
What happens to my business data and accounts?
Before implementation, we review what information the automation uses, which systems process it, who needs access and whether any information requires extra care.
Your business keeps ownership of its data. Where the tools allow it, production accounts stay in your business’s name and my access can be removed after handoff.
What happens after launch?
A Build includes documentation, team training and 30 calendar days of launch support. After that, you can manage the automation yourself or use AI Automation Care for scheduled maintenance and support.
What's the difference between workflow automation, AI automation and AI agents?
Workflow automation follows a defined process. AI automation adds AI where the work benefits from understanding information, generating output or making bounded decisions. An AI agent is one type of AI automation that can choose which action or tool to use next within defined boundaries.
